How We Work

How engagements actually work.

No surprises. No scope creep. A clear process from the first conversation to final delivery — and a follow-up built in.

The process

Four steps, every time

Whether it’s a growth strategy or an AI integration, the approach is the same: understand first, propose clearly, deliver well, then follow up.

Discovery conversation

A free, no-obligation call to understand your situation, your goals, and whether there’s a genuine fit. We’ll ask questions, listen, and be direct about what we think would help. If we’re not the right support, we’ll say so.

Free — no obligation

Scoping and proposal

A clear written proposal outlining what we’ll deliver, how long it will take, and what it will cost. No ambiguity, no hidden extras. If the scope changes, we agree it in writing before proceeding.

Delivery

We work directly with you to build the strategy, plan, or implementation. You get regular updates and involvement throughout — not a document dropped in your inbox at the end. The work reflects your context, not a generic template.

Follow-up review

Built into every engagement. We check in to see what’s working, answer questions, and adjust the plan if circumstances have changed. Strategy shouldn’t end at delivery — the follow-up is where a lot of the real value happens.

In practice

What this looks like in practice

These are illustrative scenarios based on the kinds of challenges organisations in the Midlands typically face. They are not real client stories.

Birmingham

Charity needing a marketing strategy

Marketing Strategy

A community interest group in Birmingham with 2,000 supporters and no digital marketing strategy needed to double event attendance without increasing their marketing budget.

Blu Planet Services ran a discovery session to understand their audience, current reach, and where they were losing potential attendees. From there, we developed a channel-by-channel marketing plan focused on the two channels where their supporters were already most active.

The organisation walked away with a clear audience mapping, messaging framework, and a 12-week content calendar they could populate themselves. The expected impact: a more focused marketing effort with less wasted effort, and clearer visibility into what works.

Coventry

SME wanting to adopt AI tools

AI Integration

A small business in Coventry with a 5-person team knew AI could help them work faster, but didn’t know which tools to use or how to actually integrate them into their day-to-day work.

Blu Planet Services conducted an AI readiness audit, mapping their current workflows and identifying where Copilot, Gemini, or Claude could make the biggest difference. We then provided hands-on training and implementation support, showing the team how to use these tools in their specific roles.

The team walked away confident using AI tools matched to their actual workflows, with a clear roadmap for how to expand adoption over the next quarter. The expected impact: faster output, fewer repetitive tasks, and no tool sprawl.

Leicester

Community group seeking a growth strategy

Growth Strategy

A community group in Leicester had strong programmes but struggled to articulate their value to funders and attract new members. They wanted to grow but didn’t know where to focus.

Blu Planet Services developed a growth strategy covering their market positioning, priority audiences, and three realistic growth levers they could pursue with their current resources. The strategy included a 90-day action plan with clear ownership and targets.

The group walked away with a strategic roadmap, confidence about their market position, and a clear 90-day action plan. The expected impact: more focused fundraising conversations and measurable growth in membership or programme uptake.
